General Application Deadlines
Fall semester applications are due by March 1.
Spring semester applications due by May 15 of previous year.
- Our Sorrento open studies and internship options can operate with a little more deadline flexibility (with Sept. 1 being the latest for spring and April 1 being the latest for fall) but semester long programs have Visa requirements and higher costs associated with them so we strongly encourage applicants to apply within the desired time frame.
Winter program applications are due by Sept.15 (unless otherwise specified).
Summer program applications by March 1 (unless otherwise specified).

Alfred State Students Applying for Alfred State Program
Should you have any questions about a program, feel free to reach out directly to the Office of International Education by emailing studyabroad@alfredstate.edu. You can either set up a meeting or ask questions directly through email but know that the international coordinator is always happy to assist!
There is no fee to apply, so if you are seriously considering a program, we recommend getting your application into us for review as soon as possible. Faculty-led programs can fill quickly, so the sooner you get us your application, the better.
- It is important to note that in some cases, final budgets are not available until after the International Office has received a full pool of applications. The office should be able to give you a rough estimate based on previous year(s) for a program but be aware that prices fluctuate and guaranteed costs do not usually present themselves until we have a confirmed cohort.
To apply, Alfred State students must submit complete the SUNY application packet (pdf), which includes:
- A personal statement
- Two academic references
- Personal and program information
- Verification of GPA 2.5 or higher (Alfred State students should indicate GPA but do not have to submit a transcript with their application)
- Language section (foreign language is not currently required for our programs but it is certainly beneficial if you have experience in the language of the country you are studying in so please mark this section if you do)
Once application deadline passes, all applicants will under-go review:
- Judicial checks take place to ensure students do not have any outstanding judiciary concerns on campus and we ask students to fill out the judicial review form (pdf) when they hand in their application.
- Though past infractions do not automatically preclude you from being considered or going on a trip, they can affect your standing if it is shown that there was a failure to comply.
If accepted you will receive an initial acceptance letter that becomes official once you pay a non-refundable $500 deposit to secure your space. This deposit deducts from the overall cost of the program and shows your commitment. If you fail to pay the $500 deposit by the time indicated in your acceptance, your spot will be opened up to another student.
- At any point during the process, if you have questions or concerns, reach out to the international coordinator.
Following confirmation of acceptance, students must participate in a mandatory pre-departure orientation, read and comply with preparation source materials, submit a signed student health form for study abroad and the SUNY agreement and release for study abroad waiver, and make sure all program fees and tuition have been paid before they can go on the program.
Non-Alfred State Student Applying from Other SUNY School

Along with application details, the Alfred State Student Records and Financial Services Office will require both ethnicity and social security number of the applicant in order to get the student set up in our system, should you be accepted.
- Though students do not have to submit this at the time of application, it does speed up the process in the event that they are accepted.
Review time:
- Applications for non-faculty-led programs will be reviewed and applicants will be issued decisions usually within a month of receipt.
- Applications for faculty-led programs will have an initial review at the time of submission but decisions will not be delivered until after the deadline for program application has closed.
If accepted, you will receive an initial acceptance letter that becomes official once you pay a non-refundable $500 deposit to secure your space. This deposit deducts from the overall cost of the program and shows your commitment. If you fail to pay the $500 deposit by the time indicated in your acceptance, your spot will be opened up to another student.

Students must notify their home SUNY campus of their confirmed acceptance to make sure everything is set up appropriately on their campus.
All non-Alfred State SUNY students must pay their complete program fee to Alfred State and their tuition to their home SUNY campus before the program begins.
- In order for a SUNY student’s tuition piece to be properly generated at their home campus, the Study Abroad Office at their institution must be notified.
- It is the student’s responsibility to adequately communicate acceptance and intent to study with their home campus.
- If the student is hoping to apply aid to their experience, the SUNY Financial Aid Arrangements Form for Study Abroad (pdf) will need to be completed by the student's financial aid office and the Student Records and Financial Services Office at Alfred State.
Following confirmation of acceptance, students must participate in a mandatory pre-departure orientation, read and comply with preparation source materials, submit a signed student health form for study abroad (pdf) and the SUNY agreement and release for study abroad waiver, and ensure all program fees and tuition have been paid before they can go on the program.
Once the program is completed, Alfred State will issue what is known as a supplement transcript to the SUNY student’s home campus Study Abroad Office. This document will then be applied to the student’s official record at their campus.
Alfred State Student Applying to Another SUNY Program
As outlined on our Open SUNY Study Abroad page, it is important that you keep the Office of International Education, your own academic advisor/department, and the Student Records and Financial Services Office fully apprised of your study abroad plans.
- Once you have decided on a program and reached out to the host campus to confirm details of the course/experience offerings, bring them to your academic advisor.
- You must receive written approval from your department that they will accept the transfer credits if you wish to apply them towards required courses for your degree.
- In order to review courses, your advisor will need a detailed description of what you are planning to study.
- Ultimately, written approval from your department must be submitted to Alfred State’s transfer advisor in Student Records and Financial Services if you are accepted to the program and wish to have courses count towards your degree.
Once you settle on a program, follow the application procedures of the SUNY college that is administering the study abroad (known as the host SUNY campus) and submit your application directly to that campus.
Notify Alfred State (your home SUNY campus) of your intention to participate in SUNY program by emailing studyabroad@alfredstate.edu and letting the office of International Education know about the program you have applied to – again make sure that you have adequately communicated with your academic advisor and department.
Go to Student Records and Financial Services to set up a meeting with your financial aid counselor – Ideally you should start conversations with you counselor at least a full semester before the desired program start date.
- If you hope to apply financial aid towards your experience, an Alfred State consortium agreement must be filled out by both Alfred State and the host institution prior to studying: SUNY Financial Aid Arrangements Form for Study Abroad (pdf)
- Parts I and II of the form are completed by Alfred State (student and transfer advisor – though the transfer advisor can only fill out part II if they have received proper verification from the student's academic department that courses have been approved for transfer)
- The form is then sent to the host institution's financial aid officer for the completion of section III before it is sent back to the student's financial aid counselor on the Alfred State campus.
Once you are sure you are going, email a copy of your acceptance letter and a request for meeting to studyabroad@alfredstate.edu to make sure you have connected with all of the proper home campus areas.
Non-Alfred State, Non-SUNY Applicant

- Financial aid counselors can help students better understand the options they have for funding.
- If a student wishes to have their financial aid applied to a study abroad experience, a consortium agreement must be initiated from the student’s home campus. Each campus has its own form and it's the student’s responsibility to reach out early to their home campus resources to find out details.
